Description

The City of Auburn Human Resources & Risk Management department is looking for a talented new Administrative Assistant to add to our team in January 2021! In this position, you will provide organizational and administrative support to the department, both in technical and advanced clerical aspects.

Our ideal candidate is known for their clerical and administrative support skills, professional demeanor, providing excellent service to internal and external customers, and has Human Resources or public sector work experience.

In this role you will:

  • Be the face of the department! You will serve as the first customer contact - through walk-ins, phone calls, or emails - either helping them directly or referring them to the appropriate staff person.
  • Provide clerical, organizational, and administrative support to the department, by scheduling and coordinating meetings, setting appointments, reserving meeting rooms, and maintaining stock of office supplies. You'll help ensure proper set up of equipment and supplies for meetings, interviews, trainings, and other functions as necessary.
  • Maintain the department filing systems - including creating employee personnel files and timely filing documents based on the state retention schedule, making changes and updates in the computerized HR information system, preparing and tracking multiple reports and records to provide to payroll.
  • Monitor the department's budget and provide the management team budget usage reports when requested. Prepare purchase orders, ensuring accuracy and proper coding, by entering appropriate data into the City's financial system, and process the department's purchases on PCards by preparing monthly statements for Finance.
  • Conduct Public Defender screenings, process community service work crew applications, monitor and report work crew hours.
  • Coordinate the volunteer hiring process by working directly with staff in need of volunteers, as well as applicants by advertising openings online and processing the required paperwork. Create personnel files and archive them when appropriate based on the length of their volunteer service.

We are looking for candidates who have:

  • A High School Diploma or equivalent
  • Three (3) years of successful related clerical experience and advanced computer skills
  • Demonstrated experience building relationships with internal and external customers through solid customer service
  • Able to effectively manage your own time and meet deadlines
  • Any combination of education, experience, and training that can demonstrate the ability to successfully perform the primary responsibilities for this position.

We would LOVE it if you had...

  • Experience in Human Resources and/or the public sector
  • Experience with the Microsoft Office Suite (primarily Outlook, Word, and Excel)
  • Experience working in NEOGOV Insight or OHC modules
  • Experience working in Eden
