Description

JOB SUMMARY:
Under limited supervision, performs the overall management of a wide variety of major recreation programs through planning, budgeting, organizing, marketing, scheduling, directing, coordinating, and supervising. A Recreation Coordinator may be responsible for more than one assignment area: Special Events, Volunteers, Adult/Senior Recreation Programming, Youth Recreation Programming, Youth Camps, Mobile Recreation, and Sports/Athletics. This position will require working on weekends, evenings and holidays as needed. The position is under the direction of the Parks and Enrichment Services Director.

ESSENTIAL FUNCTIONS: This list is ILLUSTRATIVE ONLY, and is not a comprehensive listing of all functions and duties performed by incumbents of this class. Essential duties and responsibilities may include, but are not limited to, the following:

  1. Plans, implements and supervises the organization and operation of assigned recreation activities and special events; develops format and structure of activities and events; orders supplies, equipment, and materials.
  2. Implements risk management processes to ensure safety of all planned recreation activities and special events.
  3. Monitors condition of recreation facilities, courts, and ball fields; documents and reports needed maintenance.
  4. Research current practices and trends in recreation programming and special events and proposes new or revised ideas and policies to stay relevant with new practices.
  5. Interacts with parents, children, program participants, instructors, contractors, coaches, community organizations and others regarding recreation activities and special events.
  6. Composes correspondence, drafts reports, designs flyers, and promotional materials using computer applications. .
  7. Demonstrates superior customer service, integrity, and commitment to innovations, efficiency, and fiscally responsible activity.
  8. Actively promote and market assigned recreation activities and special events; develop marketing plan; create marketing materials (flyers, posters, news releases, Facebook posts, E-blasts, etc.); coordinate distribution of marketing materials.
  9. Participates in recruiting, interviewing, hiring, and evaluating part-time employees and contract instructors.
  10. Develops and leads trainings and staff meetings for part-time employees.
  11. Maintains all required records for assigned recreation activities and special events.
  12. Develop and monitor budgets for assigned recreation activities and special events.
  13. Oversees registration for recreation activities and special events; reviews registration materials and rosters for completeness; monitors registration levels; determines if activity/event is cancelled or postponed.
  14. Coordinates the recruitment and selection of instructors, vendors, coaches, umpires, and others related to recreation activities and special events.
  15. Seeks donations, contributions and partnerships for recreation activities and special events.
  16. Evaluates recreation activities and special events and maintains all required records for assigned areas.
  17. Inputs and maintains program and event information in the Department registration and reservation software modules (ActiveNet).

Examples of Work Performed: The below lists are examples and are not all inclusive of work duties.

Sports/Athletics Assignment

  • Implementation of youth and adult sports programs, leagues, clinics, workshops and events.
  • Trains, schedules, and manages various umpires and officials.
  • Coordinates sports field reservations.
  • Coordinates sports facility repairs and preparation with Parks Maintenance.
  • Develops and enforces league and facility rules and regulations.

Special Events Assignment

  • Work cooperatively with other City departments and partners to coordinate necessary resources, securing required permits, mitigating parking, trash, restrooms, and safety issues.
  • Creates and manages contracts, approves and monitors vendors, creates and submits needed maintenance requests.
  • Determine proper venues, layout, logistics and scheduling.

Recreation Programming Assignment (Camps, Recreation Activities, Contract Instructors, Mobile Recreation)

  • Develop, coordinate, implement and supervise the implementation of new and trending recreation activities for the community.
  • Recruit Contract Instructors.
  • Pursue partnerships and new innovative locations and activities to offer the Mobile Recreation program.
  • Research and implement new camp offerings.
  • Maintain/develop manuals for instructors and staff.

Volunteers

  • Schedule and coordinate city sponsored community work parties to include working at events, preparing and conducting safety trainings, coordinating site, tools, and equipment for event.
  • Recruit, train and monitor Park Stewards.
  • Coordinate Community-Led Work Parties with group leader to determine locations, scope of work, supplies needed and department support needed.
  • Market and coordinate School Stewardship projects to include, determining type of volunteer experiences available, locations and department support available.
  • Maintain volunteer paperwork (Handbook, Waivers, Applications, etc.) and records.

Marketing

  • Coordinate and provide information for bi-annual Activity Guide.
  • Coordinate social media advertising - Facebook, E-Blasts, Website.
  • Develop flyers for activities.
  • Coordinate distribution of flyers and Activity Guide.

QUALIFICATIONS:

  • Bachelor’s degree in Parks and Recreation or related field plus five (5) years’ related experience in the field of recreation or an equivalent of education and training.
  • Experience working for a state, county or municipal agency is preferred.
  • Must have a driving history acceptable to the City and must maintain an insurable driving record.
  • Bilingual is preferred.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of:

  • Philosophy and objectives of municipal recreation and the methods involved in organizing and supervising activities and events.
  • Budgeting procedures and techniques.
  • Office procedures and use of computers to include use of Microsoft Word, Excel, Publisher, and registration software (ActiveNet preferred).
  • Equipment and techniques necessary to successfully conduct a program or event.
  • Occupational hazards and safety precautions.

Skills in:

  • Organizing/scheduling daily work activities and projects with changing priorities, setting priorities, and evaluating the work of subordinates.
  • Consistently provide high quality customer service, exercising courtesy and tact in dealing with citizens and the general public to maintain effective public relations.
  • Working cooperatively with staff, volunteers, organizations, and the public.
  • Operate basic office equipment (computer, Microsoft Office, fax, copy machine, etc.)
  • Problem solving conflicts and disputes as applicable.

Ability to:

  • Maintain accurate financial records and work within authorized budgeted resources.
  • Complete accurate records and develop reports.
  • Evaluate situations and make good decisions.
  • Work a non-traditional work week as needed to include overtime, weekend and holiday work.
  • Independently organize work, set priorities, meet deadlines, and follow up on assignments.
  • Maintain facilities and equipment in a clean, safe, and secure manner.
  • Interact with others using tact, patience and courtesy; maintain composure when interacting with angry or upset individuals.

License and Certification Requirements

  • A valid Washington State driver’s License
