Mount Vernon City Library is recruiting for enthusiastic and motivated individuals who are excited about working for a vibrant and thriving City and Library. We are currently looking for people to become Library Assistants to help the Library with day-to-day operations on a part-time basis.

Library Assistants work with the public to provide excellent library services at the Mount Vernon City Library.

Preference may be given to bilingual candidates, particularly in Spanish/English.

JOB SUMMARY:

Provide general library customer service, including managing patron accounts, answering patron reference and reader’s advisory questions, and assisting patrons in locating appropriate materials. Ensure materials are checked in, routed, and organized. Assist patrons with instruction on using library computer stations and basic computer literacy, including navigating our online resources, using eBooks, and working with typical office software. May assist in the presentation and development of programs and events for the public, including reading groups, story times, and instructional classes. Perform other administrative duties, work on library displays and promotions; attend all staff meetings and trainings and assist with special projects as needed.

EXAMPLES OF WORK PERFORMED: This list is ILLUSTRATIVE ONLY and is not a comprehensive listing of all functions and duties performed by incumbents of this class. Essential duties and responsibilities may include, but are not limited to, the following:

•   Provide materials to patrons as quickly as possible.
•   Ensure items are in the correct location on the floor and look nice on the shelves.
•   Pull holds lists and returning expired holds to make sure our items get back into the hands of patrons
•   Assist internal and external customers by answering questions and providing information regarding programs, services, policies, and procedures; research, respond to questions, and resolve inquiries; help customers complete forms, and provide guidance in assigned area of responsibility.
•   Provide specialized administrative support including: preparing agendas and meeting minutes; reviewing and processing documents, purchase orders, invoices; reviewing and screening correspondence, billing information, permits, licenses, and other documents; preparing correspondence, marketing materials, event notices, newsletters, maps and other documents related to assigned areas.
•   Retrieve, update, and maintain information from files and systems. Maintain records and retain documents according to retention procedures.
•   Schedule and prioritize meetings, appointments, and/or events; coordinates and maintains calendars; Identifies, assembles, and distributes meeting documents; reserves meeting space and equipment; coordinates and provides travel arrangements.
•   Process and ensure the timely handling of incoming and outgoing mail. Monitor bulk and general City-wide mailings.
•   Research and retrieve information; prepare, updates and generate reports. Maintain tracking documents or databases. Review, monitor, and reconcile information and prepare status updates.
•   Assist with special projects which may include spreadsheet activity tracking; formatting presentations; training of peers or volunteers; participating on committees; and/or updating content on internet webpages.
•   Monitor inventory, equipment maintenance needs and/or supplies for assigned area. Research needs and prepare or initiate requisitions to replenish stock or maintain equipment. Process invoices and assigns appropriate general ledger account charge information. Initiate requests for equipment maintenance.
•   Manage records and information in any format according to applicable statutes, regulations and City policy, guidance and records retention schedule.
•   Perform other duties as assigned.

QUALIFICATIONS:
•   High school diploma or GED AND two (2) years of office or customer service experience; OR an equivalent combination of education, training and experience.
•   Experience working in a library or bookstore is preferred.
•   Washington state driver’s license is required.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of:

•   Filing, organizing and maintaining records and databases;

•   Appropriate handling of confidential or sensitive information;
•   Interpreting and applying applicable laws, codes, regulations and standards;
•   Handling cash and money receipts, as assigned;
•   Utilizing a computer and relevant software applications;
•   Promoting a culture of teamwork and communication by working in collaboration and treating coworkers with respect and dignity and maintaining an open mind to diverse voices and ideas.

Ability to:
•   Communicate effectively both orally and in writing to diverse populations of people;
•   Remain calm in stressful situations;
•   Provide excellent customer service;
•   Work independently.
