Description

SPECIFIC AREAS OF RESPONSIBILITY:

Receptionist position in the Finance and Administration Department. Works under supervision to fulfill customer service, cash receipting, and various other functions. Incumbents in this position may be assigned different facets of the above responsibilities. Assistance and instructions will be given for new or unfamiliar assignments.

EXAMPLES OF DUTIES:

• First point of contact for all walk-in and call-in customers.
• Assists customers with payments, billing and other customer inquiries.
• Inputs payments made in the form of cash, checks, and credit cards, on all types of accounts.
• Responds promptly and appropriately to all routine customer inquiries (verbal, written and emailed)
• Performs research on customer accounts, payments and other inquiries as needed.
• Assists maintaining customer account changes.
• Processes duplicate billing request forms.
• Processes agent and third-party release forms.
• Processes eBilling enrollment forms.
• Manages escrow inquiries and final bill requests and prepares final bills.
• Responds to, or transfers all customer inquiry voicemail messages.
• Opens, sorts, date stamps and distributes incoming mail.
• Maintains and updates customer correspondence logs.
• Initiates service work orders for follow-up when necessary.
• Manages and monitors distribution and inventory of visitor access control cards.
• Manages Staffing Situation Reports (SitRep).
• Responds to, follow-ups and transfers customer inquiries, when necessary, to appropriate personnel.
• Performs other duties as assigned.

MINIMUM QUALIFICATIONS:

• Proficient customer service skills and techniques that enhance all customer interactions.
• Ability to manage multiple telephone and radios calls with a high degree of professionalism and etiquette.
• Understanding of the billing and collection procedures, and understanding of the business aspects of a utility’s operations.
• Ability to learn and accurately describe the operation of water meters and processes.
• Ability to learn, explain and accurately communicate rates, fees and charges defined within the Districts rate resolution.
• Proficient in the use of office machines: PCs, printers, copiers, scanners, postage meter, etc.
• Working knowledge of the Microsoft Office Suite.
• Communication skills (written and oral) as applied to interaction with all customers, co-workers (proper grammar, spelling, punctuation and business communications).
• Ability to work harmoniously with others.
• Flexibility in accepting work assignments.

Experience/Education:

Any equivalent combination of education and experience that provides the applicant with the knowledge, skills and abilities required to perform the job.
• Two years of customer service experience required.
• High School Diploma or General Equivalency Diploma (GED) required.
• One year of college or vocational training is preferred.

Licensing Requirements:

Valid Washington State Driver’s License.

Other Requirements:

Reliable and regular attendance.

WORKING CONDITIONS:

Most work is performed in a typical office environment and some driving may be required. Driving may be required. Nights and odd hours in response to emergencies may be required. This position typically requires: fingering, grasping, talking, hearing, seeing and repetitive motions. Exerting up to 30 pounds of force occasionally to move objects. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.
