We are currently recruiting for a seasoned and talented Administrative Specialist to support and assist the Deputy Executive Director for Administrative Services and the Risk Manager. This position is located at the central campus in Tukwila, WA.

The Administrative Specialist will play a critical role in supporting the operations of the KCHA Administrative and Risk Management Divisions. The ability to maximize the use of available technology while balancing complex projects and completing daily tasks, as well as experience working with highly sensitive and confidential information will be very important.

This position requires exceptional communication skills both verbally and in writing. The Administrative Specialist reviews and prepares a multitude of documents for internal and external stakeholders that must be clear and accurate. Effective written communication with a remarkable level of attention to detail and accuracy is critical to the success of the person in the role.

Essential Functions
Provides support to the Deputy Executive Director for Administrative Services and Risk Manager requiring strong administrative support skills; determines matters that require managerial attention; assists with preparing meeting materials for the Board of Commissioners; provides administrative support for Union negotiations and labor management meetings; coordinates, schedules and attends meetings; issues meeting notices, prepares agendas, and takes minutes/notes.
Assists in designing and producing program specific technical documents, forms, and reports; prepares policy and procedure reports; assembles contracts; creates and manages databases for clients and contractors.
Composes correspondence, reports and informational materials from drafts, notes or brief instructions; types, formats, edits, revises, proofreads and reviews reports, correspondence, memoranda, transmittal sheets, agreements, contracts, legal documents, insurance renewals, technical charts, tables and other specialized and technical materials.
Manages office workflow; processes property and liability claims, codes invoices to correct funding sources; assembles and establishes auditable files; performs purchasing as needed and assists with property inventory; maintains confidential claim files, certificates of insurance, and real property statement of values.
Assists in the compilation of statistical data, annual insurance renewals and reports; allocation of insurance costs, creates custom reports; determines need for information and uses software to produce desired results; researches data sources.
Supports the work of office and administrative staff by training others on process, methods and procedures; participates in the development and implementation of policies and procedures; assists with document retention and destruction.

Qualifications and Competencies
Required Qualifications:

Associate's Degree AND
One year of relevant experience providing progressively responsible administrative support OR
An equivalent combination of experience and education that provides the necessary knowledge, skills, and abilities to perform the essential functions of this position.
Required Knowledge, Skills and Abilities:
Demonstrated experience maintaining records (manual and electronic) and performing data entry with a high level of accuracy and attention to detail.
Clearly and effectively communicates both verbally and in writing by actively listening and sharing relevant information; ability to compose and prepare correspondence, meeting minutes and notes; demonstrated proofreading and editing skills.
Proficiency using MS Office applications including Word, Excel, Outlook and the Internet.
Excellent organizational skills including prioritizing, keeping track of information or work in progress, ensuring accuracy, and multi-tasking; ensures assignments are completed in a timely and effective manner.
Ability to work effectively and positively with individuals of diverse cultural and socioeconomic backgrounds.
Knowledge of and ability to interpret and explain complex or technical rules, regulations and/or policies and procedures.
Ability to work effectively and collaboratively as a team in a busy office environment while earning the trust, respect and confidence of others.
Ability to use tact, discretion, and diplomacy when dealing with sensitive or confidential information.

Salary & Benefits:
The salary range of this position is $24.15 - $31.39 per hour. A comprehensive health care benefits package for you and your dependents includes medical, dental and vision insurance, life and long-term disability insurance plans, vacation, sick and personal leave, tuition reimbursement, and retirement benefits are available.
